Perform Index is a fitness coach discovery platform operating in the United Kingdom. We are the data controller for the personal data described in this policy.

2. What data we collect
We collect different data depending on how you use the platform:
If you apply as a coach:
- Name, email address and location
- Coaching qualifications, specialisms and biography
- Profile photo and social media links
- Coaching plans and pricing information
- Client win submissions (including images where provided)
If you submit a review:
- Your name (or initials if you choose) and star rating
- Your written review of the coaching experience
- Your email address (used only to verify the review is genuine — not displayed publicly)
When you browse the site:
- Pages visited and coach profiles viewed (anonymous, used to show coaches their profile view counts)
3. How we use your data
We use the data we collect to:
- Create and display coach profiles on the platform
- Send transactional emails (account access links, approval notifications, score updates)
- Moderate reviews and client wins before they appear publicly
- Calculate and display coach scores and rankings
- Process subscription payments for verified coach status
- Respond to enquiries sent through the platform
4. Legal basis for processing (UK GDPR)
We rely on the following legal bases to process your personal data:
- Contract — processing necessary to provide the platform services you have signed up for
- Legitimate interests — operating and improving the platform, preventing fraud, and sending service-related communications
- Consent — where you have explicitly agreed (for example, ticking the client consent declaration when submitting a client win)
5. Who we share your data with
We use a small number of trusted third-party services to operate the platform. These act as data processors on our behalf:
- Supabase — our database and authentication provider. Data is stored on servers within the EU.
- Resend — used to send transactional emails. Only your email address and name are shared for this purpose.
- Stripe — used to process subscription payments for verified coach status. We do not store card details ourselves.
- Vercel — our hosting provider. They process web traffic to serve the platform.
We do not sell your personal data to third parties or use it for advertising purposes.
6. Public profile data
Coach profiles on Perform Index are public. This means that information you provide as a coach — including your name, photo, bio, location, coaching specialisms, client wins and reviews — will be visible to anyone visiting the platform.
You can request removal of your public profile at any time by contacting us at info@perform-index.com.
7. Client wins and images
Coaches are required to confirm they have obtained explicit consent from any client before submitting images or results attributed to that individual. If you are a client and believe your data has been shared without your consent, contact us at info@perform-index.com and we will remove the content promptly.
8. How long we keep your data
- Coach accounts — retained while your account is active. If you close your account, your profile and associated data will be deleted within 30 days.
- Reviews — retained as long as the coach profile they relate to remains active.
- Email logs — retained for up to 90 days for troubleshooting purposes.
- Payment records — retained for 7 years as required by UK financial regulations.
9. Your rights
Under UK GDPR you have the right to:
- Access the personal data we hold about you
- Correct inaccurate or incomplete data
- Erase your data (the "right to be forgotten")
- Restrict how we process your data in certain circumstances
- Object to processing based on legitimate interests
- Portability — receive your data in a structured, machine-readable format

10. Cookies
Perform Index uses essential cookies only — specifically, a session cookie to keep you logged in as a coach. We do not currently use advertising or analytics cookies. If this changes, we will update this policy and add a cookie notice.
11. How to complain
If you are unhappy with how we have handled your personal data, you have the right to lodge a complaint with the UK's data protection regulator, the Information Commissioner's Office (ICO), at ico.org.uk.
12. Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it was last revised. Continued use of the platform after changes are posted constitutes acceptance of the updated policy.
